I have been a fan of Ali Abdaal for over 4 years.
This simple 4-part productivity system is inspired by him.
a. Calendar (Google/ Notion)
All of my lectures, tutoring gigs, and events are scheduled on Google Calendar.
Tip: Calendly is an amazing app to schedule a meeting with people online. It automatically accounts for the time zone differences. I used it for 12+ meetings with people I met on LinkedIn!
b. Email management
This is an underrated part of productivity.
A clear email box is a clear state of mind.
I tag my emails based on Starred, Newsletter, and Event.
All promotional emails automatically go into spam.
c. To-do list
David Allen once said, “Your brain is for having ideas, not storing ideas.”
The problem we face isn’t a shortage of tasks.
The problem is learning to prioritise them by importance.

d. File management
I turn to Google Drive/ Mac’s default finder for hefty documents

Project: Your urgent tasks
Area: Ongoing priorities
Resources: Useful stuff to review
Archive: Past gigs
Simply create 4 folders, and drag your documents in.
The Bottom Line
Productivity is not about doing more. It’s about doing less with higher efficiency.
It’s about finishing your work as quickly as possible, so you regain time for doing what you love.
I have seen too many peers burn out due to a lack of self-love and clarity.
